Learn how to configure Microsoft Outlook with your Ecenica Email account.

Steps to automatically set up an email account in Microsoft Outlook 2016

  1. Open Microsoft Outlook 2016 and click File > Add Account
  2. Enter your email address, for example, info@example.com at the Welcome to Outlook screen
  3. Click Connect
  4. After a few moments a prompt will appear:
    1. Check your User Name is set to your email address, for example, info@example.com
    2. Enter your email account password
    3. Tick Save this password in your password list
    4. Click OK
  5. Outlook will now configure your account. When complete you’ll see Account setup is complete
  6. Untick Set up Outlook Mobile on my phone, too and click OK
  7. Click File
  8. Click Account Settings then select Account Settings.. from the drop-down list.
  9. Select your Ecenica email account and click Change…
  10. Click More Settings
  11. Click the Advanced tab
  12. Enter INBOX for Root folder path
  13. Click OK
  14. Click Next
  15. Click Finish
  16. Click Close

Congratulations. You’ve now configured Microsoft Outlook 2016 to send and receive email using a secure IMAP and SMTP connection.

Steps to manually set up an IMAP email account in Outlook 2016

  1. Open Microsoft Outlook 2016 and click File > Add Account
  2. Enter your email address, for example, info@example.com at the Welcome to Outlook screen
  3. Click Advanced options
  4. Tick Let me set up my account manually
  5. Click Connect
  6. Select IMAP at the Choose account type screen
  7. At the IMAP Account Settings screen check the following:
    • Incoming mail server: Enter mail.example.com, replacing example.com with your domain name.
    • Port: 993
    • Encryption method: SSL/TLS
    • Outgoing mail server (SMTP): Enter mail.example.com, replacing example.com with your domain
    • Port: 465
    • Encryption method: SSL/TLS
  8. Click Connect
  9. A prompt will appear:
    1. Check your User Name is set to your email address, for example, info@example.com
    2. Enter your email account password.
    3. Check Save this password in your password list
    4. Click OK
  10. Outlook will now configure your account. When complete you’ll see Account setup is complete
  11. Untick Set up Outlook Mobile on my phone, too and click OK
  12. Click File

How to fix ‘Problem Connecting to Server’

If Outlook returns the following message; “An encrypted connection to your mail server is not available.” it means there is an error in the autodiscover setup process. This may indicate a problem with your domain’s DNS settings.

  1. Click Next.
  2. After a few seconds you’ll see a success message; “Your IMAP e-mail account is successfully configured”.
  3. Tick Change account settings in the lower-left.
  4. Click Next.
  5. Click More Settings….
  6. In the Server Information section change;
    • Incoming mail server: Enter mail.example.com, replacing example.com with your domain name.
    • Outgoing mail server (SMTP): Enter mail.example.com, replacing example.com with your domain name.
  7. Click the Advanced tab.
  8. Select SSL for in the two select menus labeled Use the following type of encrypted connection.
  9. Enter 993 in the field labelled Incoming server (IMAP).
  10. Enter 465 in the field labelled Outgoing server (SMTP).
  11. Click OK.
  12. Click Finish.
  13. Outlook will now test the account settings by sending and receiving a test message.
  14. If you see a success message, click Finish.

Congratulations. You’ve now configured Microsoft Outlook to send and receive email using a secure IMAP and SMTP connection.

What if the test fails?

If the test fails it means one or more of your email settings are incorrect.

  1. In the test dialog windows click Close.
  2. Repeat steps 5-10 from above, checking you’ve entered the required details correctly.
    • Is your email address correct?
    • Have you used the correct password (if unsure we recommend resetting your password in your cPanel).
    • Are you using the correct host name for your Incoming and Outgoing mail server? Your incoming and outgoing server name are shown in your cPanel. Login to cPanel > Email Accounts > Click Configure Email Account > Manual Settings.
    • Are the port numbers correct?

Autodiscover DNS records

Microsoft Outlook®’s Autodiscover service searches your domain’s DNS for a special SRV record. We’ll autmotcailly setup these records when we create your hosting account so normally it’ll work without you having to do anything.

If you use a third party name server or have modified your DNS records you may find the autodiscover setup fails. To fix, check your DNS records are setup with the follow SRV record

Name: _autodiscover._tcp.yourdomain.co.uk.
TTL: 14400
Type: SRV
Priority: 0
Weight: 0
Port: 443
Target: apollo.ecenica.com

Replace yourdomain.co.uk with your domain name.
Replace apollo.ecenica.com with the hostname of the server hosting your Ecenica package.
